Quotation Expiration

This feature is incorporated in iVend Retail, to determine the duration for which the created "Quotation" will hold Valid. Option to enable manager override to convert expired quotations to sales or order is also present. This feature is available on iVend POS and incorporated in the iVend Mobile POS application as well.

Benefit:

Users will be able to know the duration for which the quotation is valid. Also will be able to use an expired quotation with manager's permission.

Configuration:

The following are the configuration for setting up the Quotation Expiration:


Step 1. 

On the Management Console go to Administration > System Initialization > Enterprise. On the Enterprise Settings screen for the Global settings “Quotation Validity (In Days)” enter the number of days for which the quotation will hold valid. If the number of days are set as 0, the expiry date will be set to 31/12/2099.

Step 2. 

Configure Manager Override option on expired quotation. Go to Administration> Retail Configuration>Retail Profile. On Retail Profile screen expand Manager Override Required option and select the checkbox for Expired Quotation. Click on Ok to save the settings.

 Step 3. 

The quotation expiry date is available within the receipt designer to allow the quotation expiry date to be printed on the receipt.

                                     

 Validation on POS

Once the quotation expiry date has elapsed, the POS user would not be able to recall the quotation, to convert it to Sales or Order. A pop up message for Manager Override is displayed on the screen. Manager has option to accept or reject the request. Clicking on Yes will send request to the Manager to override and allow the use of the expired quotation. Clicking on No will not allow the use of the expired quotation. Once the Manager Overrides, POS user will be able to use the expired quotation for sale or order.

 

If Manager Override is not configured message will state quotation expired with just an OK box to return to the previous screen.
