There are three (3) ways to manage a loyalty card number in iVend:
· Auto Generated
· User Defined
· Pre-printed
With the third option, a retailer can manage the card numbers in a way similar to serialized products. Therefore, a retailer can keep track of the number of loyalty cards received from a supplier, and the number of cards issued for each store.
A retailer wants to place an order with a third party provider to print a batch of loyalty cards with serial numbers printed on them. For example, the range of serial numbers from say: C0001 to C9999.
The retailer will receive all these cards, numbered in at the Head Office in the Enterprise.
The retailer will then transfer these cards to different stores as required.
While registering a new loyalty member, the cashier will pick one available card number and issue it to the new customer.
· Set the Card Management to ‘Pre Printed’ in the Loyalty Program. To achieve this, log into the iVend Management Console and navigate to: Operations > Loyalty > Loyalty Setup – the Loyalty Program search screen comes up.

· Click [F3 New] to create new Loyalty Program and set the Card Management drop-down menu to ‘Pre Printed’.

· In order to generate the Loyalty Cards, log into the iVend Management Console and navigate to: Operations > Loyalty > Pre-printed Loyalty Card

· Click [F3 New] to generate a new series of card numbers

· Fill in the following details:
· Receipt Number: The user can manually enter a receipt number or it can be setup in the system to be auto generated in the Document Number Series.
(Refer: Administration > System Initialization > Document Number Series)
· Store: Select the receiving store.
· Quantity: Enter the total quantity of the Loyalty Cards to be created
· Click [Add Card Number] to manually enter the card number

· Alternatively, click [Automatic Creation] to generate the series of numbers for the Loyalty Cards automatically based on a set of parameters that can be defined by the user, such as with a String/Number combination – refer to the following screen image for guidance:

· Click [Ok] to generate the card numbers:

· Issue a Loyalty Card to the Customer: The user can create a new Loyalty Customer from both the iVend POS and the iVend Management Console
· From the iVend Management Console:

· Click [F3 New] to create a new Loyalty Customer

· Select the Loyalty Program, which has been setup with the Card Management as ‘Pre Printed.
· Enter the other details as required, ensuring the mandatory values are completed such as the customer’s first name and other information.
· Click [Ok]: The system will pop up a list of available card numbers for this store – upon selection, the Loyalty Id will be populated.

· The cashier can pick any card from the available physical cards in the store but must ensure that they match it with the available cards in the system.
