How to add Loyalty Customers in iVend Retail


iVend Loyalty provides various options for registration of a Loyalty customer. The process of registering a Loyalty customer depends on the combination of the ‘Registration Method’ and the ‘Card Management’ method defined in the Loyalty program configuration. A customer can be registered as a Loyalty Customer from the Management Console and from the POS.


What follows, is a step by step guide for registering a Loyalty customer in iVend:


1. Card Registration = Customer Code :: Card Management = Not Applicable



With this scenario, the value set in the Card Management field of the Loyalty Program is not relevant. The Customer code created in iVend also acts as the Loyalty registration number (Loyalty Id) in iVend Loyalty. To register an existing customer as a Loyalty customer or to create a new customer as a Loyalty customer, enable the flag in the ‘Loyalty Member’ field in the customer master record.


2. Card Registration = Loyalty Card Attached to a Customer Code:


a. Card Management = Auto generated



With this scenario, iVend Loyalty is configured with Card Management set as ‘Auto Generated’. The customer can be registered in the iVend Loyalty system in the same way by enabling the ‘Loyalty Member’ field in the customer master record.


On Pressing [Ok], the system will assign a Loyalty number to the customer and add it to the ‘Loyalty Id’ field. This field can be viewed in the customer master record after a Loyalty Id has been assigned to the customer.



b. Card Management = User Defined



With this scenario, iVend Loyalty is configured with Card Management set as ‘User Defined’. The customer can be registered in the iVend Loyalty system in the same way by enabling the ‘Loyalty Member’ field in the customer master record, however the user also needs to manually enter the Loyalty Card Number in the Loyalty Id field of the customer master record for the registration.



c. Card Management = Pre Printed



With this scenario, iVend Loyalty is configured with Card Management set as ‘Pre Printed’. The customer can be registered in the iVend Loyalty system in the same way by enabling the ‘Loyalty Member’ field in the customer master record however, when iVend Loyalty is configured with the Card Management set as ‘Pre Printed’, when the user presses [Ok], iVend will open the Select Loyalty Card window for pre-printed cards that are available for distribution at the store. The user will need to select the card number, which will then be allotted to the customer.

 

3. Card Registration = Loyalty Card:


With this scenario, iVend Loyalty is configured with the Registration Method set as ‘Loyalty Card’. The customers can be registered as Loyalty customers in iVend from the ‘Loyalty Card’ screen in the Loyalty menu under Operations in the Management Console.

Path: Operations > Loyalty > Loyalty Card


After clicking on the option, Loyalty Card in the Loyalty menu, the Loyalty Customer Search screen opens, Press on [F3 New] to create and register a new Loyalty Customer. The Register Loyalty Customer window will open where the user can enter the customer details such as Name , Customer Group, Contacts, Birth date, Anniversary date and other information as applicable.


To register the Loyalty customer from the POS for this method, open the User Menu (Click on the iVend Retail Logo in the top left corner of the POS screen) and then click on the option under the Customer Operations menu, called Register Loyalty Customer Search.



Depending on the Card Management defined in the Loyalty Program, the following processes will be followed for allotting a Loyalty card number to the customer upon registration:

a. Card Management = User Defined


With Card Management set as User Defined, the user must manually enter the Loyalty number in the Loyalty Id field when registering the Loyalty customer in the Register Loyalty Customer window.


 

b. Card Management = Auto Generated


With Card Management set as Auto Generated, the Loyalty Id will be automatically assigned by the system upon selection of the Loyalty Program in the Register Loyalty Customer window. The Loyalty numbers are defined in the Document Number Series in iVend and this must be completed first, prior to registering any new Loyalty customers with this Card Management method.


c. Card Management = Pre Printed


With Card Management set as Pre Printed, a list of Loyalty Ids will be presented to the user upon clicking on the [Ok] button after entering the customer’s details in the Register Loyalty Customer window. The Loyalty numbers must be setup first in the Preprinted Loyalty Card option located under the Loyalty menu in the Management Console.
