How to use coupons for effective discount management?

What is a coupon?
Coupons are vouchers entitling the holder to a discount off a particular product or products. It is a promotional tool that can be used to get discounts while purchasing goods or services. Coupons can be created to provide a discount on a Percentage basis or an Amount basis. On applying coupons to the transaction, iVend applies the discount to the transaction as per the Coupon setup. There are various parameters and rules that can be defined for coupons to allow configuring coupons as a promotional tool.
How to define a Coupon?
To define a Coupon in iVend, in the Management Console, go to: Operations > Pricing and Promotions > Coupon, and press the [F1 Search] button. The Coupon Search window will appear on the screen.
The Coupon Search screen shows all the Coupons defined in the system. You can view, edit and delete any Coupon by selecting the particular Coupon and pressing the respective button at the bottom of the screen.

To create a new Coupon, press the [F3 New] button. The following Coupon Setup screen will open where the user will find the requisite parameters and configuration options to define the new Coupon.

Fill in the following information to configure the Coupon:

Enter a Coupon Id. A unique code with a maximum of 20 alpha-numeric characters can be entered.

Enter a description for the Coupon.

UPC Code

Text Box

Enter a Universal Product Code (UPC) for the Coupon (if any). A UPC is a type of barcode.

Start Date

Calendar

Enter a valid Start Date for the Coupon. Clicking on the down arrow will open the calendar control, allowing the user to easily select a date.

End Date

Calendar

Enter a valid End Date for the Coupon. Clicking on the down arrow will open the calendar control, allowing the user to easily select a date.

Trigger Multiple Times

Check box

Check this flag if the Coupon can be redeemed more than once in the same transaction at the POS. By default, it remains checked.

Minimum Order Value

Text Box

Enter a minimum transaction amount required for the Coupon to become applicable at POS. If the transaction amount is less than the defined value, then the Coupon will not be applied to the transaction.

Redemption Number Per Store

Check Box

Enter the number of times the Coupon can be redeemed in a particular store. A particular Coupon type cannot be used in any store beyond the value defined in this field.

Redemption Once Per Customer

Check Box

If this flag is checked then the Coupon can be redeemed only once per customer.

Coupon Report

Lookup

The Coupon can be designed in XML to be printed at the time of issue. A report designed for the Coupon can be attached here to print.

Trigger Quantity

Text Box

Trigger Quantity is the number of product(s) required to be purchased before the Coupon will be applicable at the POS. By default, the Trigger Quantity is set to 1. This field allows the user to define whether a discount will be available on the transaction only when a certain number of products are purchased by the customer.

Applicable Quantity

Applicable Quantity is the number of product(s) on which the coupon discount would be applied at the POS.

Discount Type

Drop Down

Select a Discount Type for the Coupon. Discount can be given in Percentage or in Amount.

Discount

Depending on the Discount Type selected, enter the Discount in amount or percentage.

Can Issue at POS

Check Box

Check this flag if this Coupon can also be issued at the POS.

Can Print at POS

Check Box

Check the flag if this Coupon can be printed at the POS.

Pass Template

Drop Down

If the Coupon is to be attached to a digital format, then select the Pass Template for the digital Pass

Pass Email Template

If the Coupon is to be attached to a digital format, then enter the Pass Email Template to be used for sending emails to the customer enrolled for digital Passes

Pass Value

If the Coupon is to be attached to a digital format, then enter the text to be printed on the pass template - this will dynamically replace the "PassValue" field that is defined in the Pass template - refer to the image below.

Pass Description

Text

If the Coupon is to be attached to a digital format, then enter the Description to be printed on pass template - this will dynamically replace the "PassDescription" field that is defined in the Pass template - refer to the image below.

[Add Product]

Button

Allows the user to add the product(s) for which this Coupon will be applicable. Clicking on this button opens the product search screen. The required product(s) can be selected and added to the Coupon screen. You can select multiple products in one action. The selected product(s) will appear in the Coupon screen in the "Coupon Items" section - refer to the following screen image.

[Add Product Group]

Button

This allows the user to select all the product groups for which this Coupon will be applicable. The selected Product Groups will be added to Coupon Items section.

[Add Product Category ]

Button

This allows the user to select all the Product Categories for which the Coupon will be applicable. Selected Product Categories will be added to Coupon Items section.

[Add Manufacturer]

Button

This allows the user to select all the Manufacturers for which the Coupon will be applicable. The selected Manufacturers will be added to Coupon Items section.

[Add Customer Group]

Button

This allows the user to add a Customer Group or Groups for which the Coupon will be applicable. The selected Customer Group(s) will be added to Coupon Items section.

[Delete Conditions]

Button

This allows the user to delete any specific condition(s) set for the Coupon. Select the row from the Coupon Items section and press the Delete Condition button to remove the condition from the Coupon.

[Applicable]

Button

The button allows the user to select the store(s) applicable for the Coupon. Pressing the Applicable button opens the Coupon Applicability screen where timing in terms of week days and time can be specified during which the Coupon can be applied within a transaction at the POS. This could be used as a promotional tool to drive greater sales during off peak trading periods for the stores.

[OK]

Button

Pressing this button save the changes made in the Coupon and updates the database, then closes the screen.

[Cancel]

Button

Pressing this button closes the screen without saving any changes made to the Coupon.

[Print Coupon]

Button

This button is used to print off the Coupon for distribution purposes. The Receipt Designer can be used to create and edit a Coupon design.

Pressing the Applicable button opens the Coupon Applicability screen where timing in terms of week days and time can be specified during which the Coupon can be applied within a transaction at the POS. This could be used as a promotional tool to drive greater sales during off peak trading periods for the stores.

How to issue coupon at the POS?
A Coupon has been defined as per the above setup parameters and configuration settings to provide a 25% discount Coupon. These can be seen in the following screen image.

To issue the Coupon, open the POS. The Coupon can be issued in a transaction containing only the Coupon and it can also be used with the sale of other items. Press the [F1 Transaction Mode] button at the POS, which will display the Transaction Mode selection panel.

Select the [F9 Coupon Issue] button from the available options. This will show all the Coupons which can be issued from the POS. Select the Coupon for which you would like to issue from the POS


On selecting the Coupon, iVend will add the Coupon to the transaction screen at the POS.


If the “Can Print At POS” option in the Coupon setup is flagged, then on completing the transaction, iVend will also print the Coupon.
Remember, in order to issue the Coupon at the POS, the “Can Issue At POS” option in the Coupon setup must be flagged
How to Redeem or Apply the Coupon within a transaction at the POS

To redeem a coupon on a transaction, enter the Coupon number or scan the Coupon into the scanning area and then press enter. The Coupon will be applied as per the defined rules for the Coupon in the setup. In the event that there are various items on which the Coupon can be used then the discounts will be applied as per the Discount Resolution defined in the system.
